Accounting software comparisons

Bigcapital alternative: choose the workflow before the stack

Bigcapital is a broader accounting and inventory application; PHP Ledger offers a narrower PHP bookkeeping preview.

Key takeaways

The meaningful comparison is accounting coverage plus the operational skills needed to keep the installation healthy.

What does Bigcapital offer?

Its project materials describe accounting and inventory software with a documented self-hosting route.

The Bigcapital repository, checked on 16 September 2026, describes an accounting and inventory application, an AGPL licence and Docker-based self-hosting. It also documents a headless accounting API. Those are meaningful starting points for a business that needs more than a journal. The repository links its operational documentation; use that documentation to identify the release, settings and supported transaction sequence you will test.

A product's feature list is not the finished evaluation. If your business needs a customer invoice with a partial payment, a supplier bill and a stock return, ask to see those examples reflected in the reports. Inspect the remaining balance and original source after each step. The purpose is to establish whether the particular configuration fits your operation. This article is based on documentation and does not report an installed Bigcapital acceptance test.

Where does PHP Ledger fit alongside it?

The preview fits a smaller bookkeeping evaluation where the missing operational modules are explicitly acceptable.

PHP Ledger has a central double-entry posting service, receipts, expenses, general journals and source-linked reports. It also provides bounded opening, period and bank-reconciliation functionality. Shared party, currency and open-item foundations now underpin the document workflows. The 0.4.0 starter now adds customer invoices, supplier bills, payments, optional stock costing and manual tax calculation. Electronic-invoice submission and country applicability remain outside the product.

That distinction is especially important when an application has a point-of-sale demonstration. A cash sale can produce a balanced accounting entry without maintaining stock quantities, cost layers, returns or cost of goods sold. PHP Ledger's cash POS showcase should be evaluated within that boundary. If inventory accounting is required, do not infer it from the presence of a product picker or a receipt screen.

How does the deployment choice affect the team?

Choose an application whose updates, backups and supporting services your operator can actually maintain.

Bigcapital's source tree includes a JavaScript and TypeScript workspace and Docker configuration. Its official documentation, checked on 16 September 2026, is the starting point for the chosen installation method. A container deployment can package dependencies consistently, but someone must still understand persistent data, environment configuration, image updates and service failures. Docker is an operating method, not evidence that the product is unsuitable for a small business.

PHP Ledger's PHP hosting requirements may fit an operator already responsible for PHP sites. The tested database profile is MySQL 8.4 and the minimum runtime is PHP 8.2. Do not substitute a different database merely because it accepts similar SQL. Compare the complete maintenance procedure, including restoration, rather than counting application languages. We have not established a universal minimum server size for Bigcapital or a comparative hardware saving for PHP Ledger.

Where PHP Ledger loses

Bigcapital belongs higher on the shortlist when accounting must include its documented inventory and business transaction coverage.

PHP Ledger's smaller scope becomes a disadvantage when it forces staff to maintain obligations or stock in a spreadsheet. A preview can be useful to inspect, contribute to or test, but that is different from running a business process. Bigcapital's documented accounting, inventory and API direction is materially closer to a complete operational system. Verify it with your examples rather than assuming that every advertised capability is ready for every jurisdiction.

PHP Ledger also makes no stable-release or accountant-certification claim. A business already operating Bigcapital successfully should weigh the benefit of staying on a familiar system against the risks of losing functionality. If the only concern is Docker administration, a competent operator or a supported hosting option may be a better answer than moving to software that does not perform the required work.

What does data ownership require in practice?

It requires access to usable records and a reproducible recovery path, not merely permission to read source code.

The PHP Ledger self-hosted core does not require a licence key or licensing-server call. We have not performed a traffic audit of a running Bigcapital deployment, so external service dependencies and offline behavior remain items to verify in the chosen setup. For either application, include database records, attachments, configuration and release identity in the recovery plan. A folder of invoice PDFs is not equivalent to an export of allocations, audit history and account mappings.

  1. Create a synthetic company with known opening figures.
  2. Enter the required business transactions and check the reports.
  3. Make a backup that includes the required persistent data.
  4. Restore to a separate environment using documented instructions.
  5. Ask another operator to trace the same source records and balances.

How should a switch be evaluated?

Use an explicit scope decision and a reconciliation plan before copying any real business records.

Operational requirement
A task staff must complete routinely, including its exceptional and correction cases.
Recovery acceptance
Evidence that a backup can restore the application and explain the same balances and source history.

Known example → accounting result → correction → backup → restored result

A complete evaluation includes the failure and recovery cases that a product tour rarely shows.

Agree the cutover date, retained source system and responsibility for outstanding documents. A balance-only opening cannot replace the ongoing collection or payment workflow for open items. Stock requires its own quantity and value reconciliation. The existence of foundation tables is not an invitation to create unsupported documents directly in a database. Use only supported posting paths and keep a written list of blocked requirements.

Questions and recommendation

Evaluate Bigcapital for broader accounting needs and PHP Ledger only where its stated preview boundary fits.

Is Bigcapital ruled out because it uses Docker?

No. Assess whether you have an operator and recovery process for the documented deployment. The hosting method is one selection criterion, not a verdict on accounting quality.

Can PHP Ledger provide Bigcapital's inventory functions?

PHP Ledger has optional one-location moving weighted-average Inventory. Its cash POS remains separate, and no Bigcapital migration connector or equivalent inventory breadth is claimed.

Read the ERPNext comparison for a broader ERP and the Dolibarr comparison for a PHP suite. The category guide compares licensing and operational scope. If the preview is appropriate, start with the release download notes and synthetic records. Sources were checked on 16 September 2026; no live customer migration or competitor benchmark was performed.
